Terms of Use - Partners

The Coach Hire Comparison (CHC) website at www.coachhirecomparison.co.uk is owned and maintained by Coach Hire Comparison Ltd (UK Registration Number 8883045). These Terms and Conditions are therefore binding between you (the Partner) and Coach Hire Comparison Ltd for use of the www.coachhirecomparison.co.uk website.
Partners
Partners to Coach Hire Comparison who provide The Customer with reasonable quotations.
The Customer
The individual or company wishing to advertise for reasonable transportation costs from Partners.
The Price
The price quoted is the price you are happy to receive for the booking.
DSA
The government organisation set up to ensure all public vehicles are maintained and governed up to a minimum standard.
Coach Hire Comparison’s Objective
To match the Customer requirements with a suitable Partner to undertake the journey.
Payment
Payment for the booking between Customer and Partner is done directly between both parties.
Membership
The statements below provide the guidelines on the usage of the Coach Hire Comparison website and on being a Partner of Coach Hire Comparison (abbreviated to CHC).
(1) Eligibility
In order to use the services provided at the Coach Hire Comparison website you must be aged 18 years or over and able to enter into a legal contract according to the applicable laws in the UK.
(2) Partner Registration
In order to use the services provided at the Coach Hire Comparison website you must register for free using the on-line registration form and provide true and honest information about your company. If the information that you provide is discovered to be false, your account on the website will be suspended whilst an investigation is carried out.
Our aim is to enable Partners to work directly with Customers. If we discover that a Partner has misrepresented their application then they will be removed from the system.
Registration and set up is free, however you will be required to enter into a set monthly direct debit for a service charge in order for you to quote on unlimited jobs that are of interest to you. You will be able to take bookings up to a certain limit, depending on the level of membership you choose, everything over this will be charged at a percentage rate and invoiced separately in the month that booking is made and not when the work is undertaken.
(3) How your membership works

Features
There are a number of benefits and features that you can take advantage of when registering to work with us. These features, listed below are there to help make the booking process easier for both yourself and the customer, and ensure safety and security at all times.

Advertising Area | Depending on where you're based in the UK, you'll get between a 10-30 mile advertising radius from your postcode. A larger radius can be given for more unpopulated areas. |
Virtual Number | This enables customers to contact you through your CHC provided virtual number - all calls are recorded. |
Passenger Recovery | If you have a vehicle breakdown or last minute job to fill, passenger recovery will get you in instant contact with over 200 operators Nationally to get your passengers moving quickly. |
Away from Base | Receive quote enquiries for vehicles while they are working in a location away from base and have spare days to fill. |
Destination Quote | Receive quote enquiries for journeys going into your operating area - this only works for one-way trips or jobs with a return greater than 15 hours from the departure time. |
Pushed Quotes | We will manually send you quotes that we think are suitable for you that fall outside of your search criteria. |
Your account invoices
2nd of month | Invoice raised for your set monthly minimum based on your membership Level |

Cancellations
We strongly advise that you set your deposit percentage at 25% due within 2 days of booking. This secures the date and times requested, if a customer decides to cancel it is recommended that their deposit is non-refundable in most circumstances - this is to protect your business. At your discretion a credit could be offered against a future date if the customer wants to re-arrange with you.
Our charges still apply and will be deducted from the deposit amount collected.
Credit will be issued if a customer fails to make their deposit payment and the job is cancelled due to this reason.
(4) The Role of the Coach Hire Comparison website
The Coach Hire Comparison website provides an internet venue where Customers may advertise their job requirements online. CHC acts as a facilitator to help provide a Customer with a suitable Partner. Any contract is strictly between a Customer and the Partner.
Portal
CHC is an advertising portal that allows searching Customers the ease of receiving quotations from Partners in their pickup area or beyond and allowing Partners to quote for up to a maximum of 2 hours in order for quotations to be sent back quickly and online. CHC staff will work with you wherever possible to assist and advise you on converting quotes to bookings and to utilise CHC to the best of your advantage.
Licence
In order to be a Partner of the website you must provide CHC with a copy of your Operator Licence Number. If at any time your licence is revoked, you must immediately inform CHC and your membership will be suspended until such time as a replacement ‘O’ licence is forwarded to our office. Registration is via an online form and is free to set up. CHC will activate your account once all information has been verified. You are required to complete a Profile of your company, after which you will be able to browse and quote on jobs of interest for a set monthly service charge.
Profile
Upon registering, you will be required to complete your profile 100% to maximise the potential of Coach Hire Comparison. This will include:
- Completing all company information accurately to allow CHC staff to carry out due diligence on your company.
- Adding all vehicles within your fleet including full specifications and images of each vehicle.
- Completing your company bank account details in order for these to be passed to the Customer upon booking confirmation.
- An up to date logo must be visible on all quotations (dependant on the level of membership chosen).
- Your company Terms & Conditions will be uploaded into the system and be visible to all customers who receive a quotation from you.
It is your responsibility to update photographs and company information during your membership. This will give you the best chance of converting your quotations to bookings. Only you can make this happen but CHC staff will always be on hand should you require any help, guidance and support.
Quote Requests
Responding to quotations in a timely manner is something all Partners must aspire to. A quotation is open for a maximum of 2 hours, in which time as many partners can send their prices to the Customer. After this time is achieved, the quote request will no longer be available.
Only quote on jobs that you know you can fulfil. Giving our Customers a positive response will continue to increase your traffic and in turn the overall traffic to CHC.
Bookings
All jobs should be carried out by your Company, however, we appreciate that on occasion, due to operational difficulties, it may be necessary to outsource work. If this is necessary then we request that you ensure that you use a legally compliant Partner. We encourage if possible to use a Partner from the CHC website to help with work being outsourced.
Bookings must be dealt with via the Coach Hire Comparison platform, this is the most efficient and professional way for both parties to track and monitor bookings whilst receiving the relevant notifications throughout the process which gives the customer confidence they are booking with a reputable Partner. We offer a Payment Protection on all bookings made online and secured with deposit payment and final balance payment notified and updated via your CHC dashboard. This will cover the Customer and give them peace of mind that if your vehicle does not show up with no communication received they will get a full refund from CHC without delay and following investigation which in turn monies will be retrieved from you. Partners taking bookings offline purposely will be taken very seriously and will have their account terminated without notice and with immediate effect. If you do not agree to these terms then please do not take your registration further. We understand bookings will be made offline on some occasions, however you can convert this to a booking manually in order for the process to continue to run smoothly.
Virtual Telephone Number
A virtual telephone number is allocated on your account for all CHC enquiries to be tracked by yourself and CHC. All calls are recorded and listened to daily. If we hear operators encouraging the customer to book offline, you will be contacted immediately. If the Customer wishes to book away from CHC, it is your responsibility to explain the benefits of booking online via CHC and guide them through the process - your best price guaranteed, payment protection, notifications and payment reminders, allocation of driver email.
Cancellation
Continuation with membership is not compulsory, therefore if you find that membership is not advantageous then you can cancel your membership without incurring any costs.
(5) Payment Terms for Service
Payment terms for the booking are laid out by Coach Hire Comparison for the customer which are set by each individual Partner upon account set up. Payment for the service is strictly between Customer and Partner.
Terms for direct payments between Customer and Partner are set by the Partner. Please make sure you send these to your Customer as soon as a booking is made.
(6) The Price the customer pays
The price the customer pays is the price you enter, CHC do not add anything on top of this. You pay a monthly charge based on the bookings you secure. Make sure the price is accurate and what you are happy with.
(7) Bookings you accept
Any bookings you accept from CHC must be honoured and at no point must you cancel a job once you’ve accepted it. Outsourcing a job is permitted but only on occasions where you have a vehicle breakdown, driver shortage or something similar.
(8) Partners Taking bookings offline
Knowingly taking bookings offline will result in immediate termination of your CHC membership. All bookings generated through CHC must stay online through the full booking process. Regular checks are made by CHC to ensure this rule is adhered to at all times including call recordings, secret shopper and online messages.
(9) GDPR Compliance
You are directly liable for overall compliance with the GDPR and for demonstrating that compliance. If you don’t achieve this, then you may be liable to pay damages in legal proceedings or be subject to fines or other penalties or corrective measures.
(10) Driving breaks
Coach Companies are responsible for ensuring compliance to rules and regulations as laid down by European Driving Regulations. When you provide a quote you may specify double drivers in order to maximise driving time. However, driving breaks will be written into the drivers schedule for both the customer and drivers convenience.
(11) Business Obligations
Partners have an obligation to provide safe legally operated vehicles.
(12) Working time directive
The European working time directive sets down rules governing the safe driving of passenger transport vehicles. In order to meet its requirement all Partners must operate under these strict rules.
(13) Site Interference
You undertake along with any affiliated party or parties contracted by you not to take any actions to interfere with the operation or performance of the Coach Hire Comparison website. This includes but is not limited to the use of any software, hardware or programmed routine that could destabilise the website or interfere with any of the information held on the site.
(14) Limitation of Liability
In no event shall Coach Hire Comparison (including its officers, employees, directors and partners) be held liable for any loss of profits, revenues, or any special incidental or consequential damages, however arising, including negligence resulting from or in connection with this agreement or use of the Coach Hire Comparison website.
The Coach Hire Comparison website and services are offered ‘as available’ and ‘as is’ without any warranties or guarantees expressed or implied. We and our Partners specifically disclaim the implied warranties of title, merchantability, fitness for a particular purpose and non infringement.
(15) Indemnification
You agree to indemnify and hold harmless Coach Hire Comparison (including its officers, employees, directors and partners) from any claim or demand including legal fees made by any third party due to or arising from your use of the Coach Hire Comparison website.
(16) User Agreement Violations
Coach Hire Comparison reserves the right to terminate your account temporarily or permanently should you violate any part of the Terms and Conditions or User agreement. This includes the termination or suspension of any transactions you may be involved in at the time, without refund, compensation or liability for loss of business or revenue which you may claim as a result of such termination.
(17) Disclosure
The services offered at the www.coachhirecomparison.com website are provided by Coach Hire Comparison Ltd. These Terms and Conditions are legally binding between the Partner and Coach Hire Comparison Ltd.
By becoming a Partner with CHC you are agreeing to abide by the CHC User Guidelines as shown above, and any additional terms and conditions as updated on our website.
Coach Hire Comparison reserves the right to change these Terms and Conditions at any time. Changes will be posted on the Coach Hire Comparison website and will be considered effective when posted. If you do not accept these terms and conditions at the time of reading then your account will be closed with us.
